Ace College International (“we,” “us,” or “our”) is committed to protecting the privacy and personal data of our students and their parents/guardians. This policy explains how we handle data collected through our website and our automated WhatsApp Payment & Registration system.
We collect and process the following categories of personal data:
• Parent/Guardian Information: Name, WhatsApp phone number, and email address.
• Student Information: Full name, class/grade level, and enrollment ID.
• Financial Information: Proof of payment (screenshots of bank transfers or transaction IDs) provided via WhatsApp to register fees.
• Academic Records: Continuous assessments, examination results, and attendance records.
We use this information solely for:
• Payment Verification: Automating the registration of school fees via our n8n workflow.
• Academic Management: Tracking and reporting student performance to parents.
• Administrative Communication: Sending school updates, receipts, and performance reports.
Our automation infrastructure (n8n) is hosted on secure Contabo servers located in the European Union (EU).
• Data Protection Standards: While the data is stored outside of Nigeria, it is protected under the General Data Protection Regulation (GDPR), which provides a high level of security.
• Compliance: We ensure these transfers comply with the Nigeria Data Protection Act (NDPA) by using encrypted channels and secure server environments.
• Security: We use end-to-end encryption for WhatsApp communications and secure, password-protected databases for academic records.
• Retention: Financial and academic records are maintained for the duration of the student’s enrollment and beyond for transcript and other academic-related requests that may require historical data.
We interact with Meta (WhatsApp) to facilitate communication. Meta’s processing of data is governed by their own privacy policies. We do not sell or share student or parent data with any other third-party marketers.
Parents and guardians have the right to:
• Access the academic and personal records of their children.
• Request corrections to any inaccurate data.
• Withdraw consent for WhatsApp-based communications at any time.
